This Policy applies to two categories of individuals: (a) Clients — employers, recruiters, and staffing firms who create accounts and use the HireHotline platform; and (b) Candidates — job applicants who participate in AI-conducted phone screening calls initiated by a Client.

3. Information We Collect

From Clients:

Name, email address, and contact information provided during account registration.
Billing and payment information (processed by third-party payment processors; we do not store full card details).
Job descriptions, screening questions, and other content Clients configure within the platform.
Usage data and activity logs associated with the Client account.

From Candidates (on behalf of Clients):

Phone number used to receive or place the screening call.
Voice recordings of the screening interview.
Automated transcripts and AI-generated summaries of the interview.
Any information the candidate voluntarily provides during the call.

Automatically collected:

IP addresses, browser type, device information, and general usage analytics from Client interactions with our web platform.
Call metadata including date, time, duration, and call status.

4. How We Use Information

We use information to:

Provide, operate, and improve the HireHotline service.
Deliver screening transcripts and results to the appropriate Client account.
Process payments and manage Client subscriptions.
Communicate with Clients regarding their accounts, updates, or support requests.
Detect and prevent fraud, abuse, or violations of our Terms.
Comply with legal obligations.

We do not use candidate screening data for any purpose other than delivering results to the initiating Client and improving the accuracy and reliability of our AI systems in an aggregated, de-identified manner.

5. Data Sharing

We do not sell personal information. We may share information in the following limited circumstances:

Service Providers: We work with third-party vendors (including telephony providers, cloud infrastructure, and payment processors) who process data on our behalf under confidentiality obligations.
Clients: Candidate screening data is shared with the Client who initiated the screening call. Clients are responsible for their own handling of that data.
Legal Requirements: We may disclose information if required by law, subpoena, court order, or to protect the rights and safety of John Amorosso, our users, or the public.
Business Transfers: In the event of a merger, acquisition, or sale of assets, data may be transferred as part of that transaction.

6. Client Responsibilities Regarding Candidate Data

Clients act as the data controller for candidate information collected through their use of HireHotline. Clients are solely responsible for:

Obtaining all required consents from candidates before initiating screening calls.
Providing appropriate notice to candidates that they will be interviewed by an AI system.
Complying with all applicable privacy laws governing the collection and use of candidate data in their jurisdiction.
Their own storage, use, and deletion of screening outputs shared with them.

7. Data Retention

Client account data is retained for the duration of the subscription and for a reasonable period thereafter. Screening recordings and transcripts are retained for up to 90 days following the date of the call, after which they are deleted from our systems. Clients are encouraged to download and store outputs they wish to retain beyond that period.

8. Security

We implement reasonable administrative, technical, and physical safeguards to protect the information we hold. However, no transmission of data over the internet and no method of storage is completely secure. We cannot guarantee the absolute security of any information.

9. Your Rights

Clients may access, update, or request deletion of their account information by contacting us at john@genesissearch.com.

Candidates who wish to inquire about data collected during a screening call should contact the employer or recruiter (Client) who initiated the call, as they are the data controller for that information. We will cooperate with reasonable Client-directed deletion requests.

Residents of certain states (including California under CCPA) may have additional rights. Please contact us to exercise any applicable rights.

10. Cookies and Tracking

Our website uses cookies and similar technologies for basic functionality, session management, and analytics. You may control cookie settings through your browser, though disabling cookies may affect certain features of the platform.

11. Children's Privacy

HireHotline is intended for use by adults in a professional employment context. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided information through our service, please contact us so we can delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify Clients of material changes by updating the date at the top of this page or by direct communication. Continued use of HireHotline following any update constitutes acceptance of the revised Policy.
